From quoting software to an AI agent platform for insurance

XILO

XILO helps P&C insurance agencies take an account from raw lead to a proposal in the client's hands. Its AI agents handle intake, quote every carrier an agency works with, and build the proposal, syncing each data point to the agency's management system.

Our partnership started in 2020 with a redesign of XILO Customer Forms. Since then, we've designed the agency web app, the client portal, the quoting experience in the Chrome extension, the AI agents, the design system and the marketing website.

I felt like we had an in-house design team the whole time and couldn't have been happier with that.

Intake forms

Every account starts with intake. The new intake form collects and validates client details section by section. Meanwhile the AI Intake Agent researches the risk and pre-fills the form from property records, household data, listings and photos, so agents review the details instead of typing them.

Client management

One board holds every client, with their policy lines, active quotes and next steps in view. From any client, agents can manage policies, start a new quote, select carriers and share proposals without leaving the page.

Customer experience: client portal and customer forms

The client portal gives policyholders one place to review quotes, request changes or move forward, upload documents and check policy details, on desktop and mobile. Together with customer forms, it covers the whole client side of the process, from the first application to the signed policy.

Chrome extension and quoting agent

With the XILO Chrome extension, the AI agent quotes an account with every carrier the agency works with. It opens each carrier’s portal, fills in the application and brings the premium back, while the agency’s team follows along and takes over whenever a portal needs a person. XILO says this cuts quoting from 45–90 minutes to 15–20.

Dashboard and reports

Dashboards show the agency's pipeline at a glance: premium by carrier, bound policies by agent and results by line of business. Every chart sits next to the records behind it, so a trend leads straight to the clients who make it up.

Automation workflows

The workflow builder, which we first designed from scratch for XILO, now runs follow-ups across the whole client lifecycle. That covers welcoming new leads by email and SMS, re-engaging abandoned forms, sending renewal reminders and cross-selling. Each workflow starts from a trigger, such as a submitted form or a new lifecycle stage, followed by actions like assigning an agent or sending a text.

AI proposal agent

When quotes come back, the proposal agent turns them into a branded, client-ready proposal that uses the agency's template and brand voice. Agents start it with a chat prompt, review the draft and share it with the client in a few clicks.

Design system

The design system keeps the web app, client portal, Chrome extension and website consistent. Components start as Figma variables and variants. They become coded components documented in Storybook, with every state, token and usage guideline in one place.

Website design

The new website repositions XILO from quoting software to an AI agent platform. It explains one agent that covers intake, quoting and proposals, with pages for each P&C segment and for XILO's new AI Agent Management Services. We designed it and built it in Webflow.
